Double rooms or larger shared rooms — the guest picks the size. You set an allocation per size, so never more rooms are created than the hotel has reserved for you.
A field from your registration form becomes the grouping attribute — e.g. location, department, travel group or gender. Guests then only see who matches.
Only guests who explicitly agree become visible — and you decide which fields the others see (e.g. name and company, but no email). Consent can be withdrawn at any time.
Request, acceptance, decline and leaving a room each trigger an email — shipped in six languages and editable per event.
One click and you have the occupancy as Excel or PDF: one row per room with everyone in it, plus a separate section for single rooms including the reason. Exactly how the hotel needs it.

Optional or required
You decide whether choosing a room is optional or part of the flow. Even when it is part of the flow it stays soft: anyone who finds nobody or prefers to sleep alone simply gives a reason — registration is never blocked. Your overview always shows who still has no room.
